Summary:


A highly organized and proactive administrative professional responsible for supporting the Global Platform, Site Head, and Site leadership teams. This role involves managing complex calendars, coordinating meetings and travel, processing expenses and invoices, and handling internal communications. Key responsibilities include timekeeping, training coordination, corporate travel card program management, purchase requisition processing, and supporting special projects. The position requires strong multitasking, communication, and problem-solving skills to ensure seamless operations and executive support.

Responsibilities

  • Provide administrative support to Global Platform, Senior Site Director, and direct reports.
  • Coordinate and support CGT Leadership and Houston Leadership Teams.
  • Serve as first point of contact for internal and external customers, vendors, and guests (in person or phone).
  • Manage scheduling and calendar coordination for leadership, including meetings and priorities.
  • Prepare meeting materials and compile information for leadership.
  • Handle incoming calls, messages, and information distribution.
  • Maintain office equipment, supplies, and support logistics for training, conferences, and offsite meetings.
  • Organize and execute special projects, ensuring timely follow-up and results monitoring.
  • Maintain daily timekeeping entries and provide backup support for other timekeepers.
  • Manage travel arrangements and prepare expense reports for senior management.
  • Process billing and invoice activities, including staff utilization tracking.
  • Act as department training coordinator; track safety chats monthly.
  • Administer site corporate travel credit card program (requests, eligibility, issuance, credit limit management, cancellations, terminations, cardholder support).
  • Manage purchase requisitions: receive, enter, and route for approvals.
  • Perform other duties as assigned.

Required Skills

  • Strong administrative support experience (education or prior background).
  • Proficiency in scheduling, travel booking, and expense reporting systems.
  • Customer service orientation with ability to interact professionally with stakeholders.
  • Strong organizational and time management skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other admin platforms.
  • Accuracy and attention to detail in documentation and data entry.
  • Ability to handle confidential information discreetly.

Desired Skills

  • Familiarity with technology trends in booking systems, expense platforms, or other administrative tools.
  • Prior experience supporting senior leadership or executives.
  • Experience with corporate credit card program administration.
  • Exposure to procurement processes (purchase requisitions, invoice management).
  • Knowledge of safety/training coordination in a corporate setting.
  • Experience working in life sciences, biotech, or pharma environments (if relevant to the company).
